Fee management system in Google Appscript | School Fee Management Software

This is a school fee system in Google Apps Script that works one student at a time. Type a roll number, press Get Information, and the page returns that child's photo, ID, name, class, father's name and campus, followed by the fee heads for the month and every transaction recorded against them. It is the screen an accounts clerk keeps open at the counter, not a parent-facing portal.

One roll number, the whole picture

The lookup pulls the student record and the fee record together. Monthly fee, transport fee, other charges, paid dues, annual fees and any other dues sit in one block, so a parent asking what they owe gets an answer without anyone opening three sheets. The page prints as it stands, so the same view doubles as the slip you hand over or save as a PDF.

Fee heads you define yourself

The month columns are yours to name. Add January, February and March in the sheet, set the amount against each, refresh the page and the totals recalculate, including the yearly figure, what has been paid and what is left after margin. A status formula flags a student who has paid in advance. Change a student's class and the fee total follows that class; mark them as left and their figures drop to zero.

Transactions, discounts and notes

Under the fee block sits a running ledger for that student. A child buys books for 1000 and gets 500 off: you enter the amount, the discount and a note, submit, and it joins the history the next time that roll number is pulled. Nothing is overwritten, so the counter always has the full trail behind a balance.

Sheets behind it, and one warning

The workbook holds a registration form for new students, a diary sheet with contact details, the stored fee data and an analyse sheet that totals earnings. Those sheet names are referenced by the code, so leave them exactly as they are — renaming one throws an error that is hard to trace. You also paste your own spreadsheet ID into the two script files before the first run.
