Invoice & Receivables Ledger Dashboard – Google Sheets

The upgraded invoicing dashboard: a proper customer master, payments recorded with the detail an accountant asks for, and a ledger that answers both questions — what does this customer owe, and what are we owed in total.

Customers are records, not typing

Customers are created once with an ID, name, email, address and country, then pulled into an invoice by ID rather than retyped each time. That is what makes the ledger work: every invoice and every payment attaches to the same customer instead of three slightly different spellings of their name.

Invoicing

The invoice number fills itself and the date is yours to set. Items come from the product manager carrying their stock and tax rate, with the stock colour-coded by level so a low line is obvious, and both unit cost and tax percentage can be overridden on a line when you are quoting a particular customer a particular price. Invoice-level tax and discount sit on top.

Payments and the ledger

A payment is recorded as cash or bank transfer, and a transfer carries the bank name and the transaction ID — the reference you need six months later when someone asks which payment cleared which invoice. The customer ledger then shows total invoiced, total credit, total debit and the outstanding balance, filtered by date range and exportable to Copy, CSV, Excel or PDF. A combined view rolls every customer together into your total receivables.

Two roles

Admins manage customers, products, users and access, and see every invoice. Users search customers, raise their own invoices and view the ledger for them. Any invoice can be printed, downloaded as PDF or emailed to the customer as a PDF attachment.
