Free Vehicle Payment Tracking System – Google Apps Script

Payments coming in against vehicles, through agents, into banks, handled by staff — recorded once and then reportable by every one of those dimensions. A React dashboard on top of a Google Sheet, with the master lists under your control.

Recording a payment

One form: vehicle number, agent, amount, payment method, bank, staff member and whether the payment is done or still pending. Agent, bank and staff are dropdowns rather than free text, which is the detail that makes the reports work — you cannot report by agent if half the entries spell the name differently.

The master lists are yours

Agents, banks and staff are each managed from their own screen with add, edit and delete, so the dropdowns fill with your own people and your own banks rather than sample data you have to edit in code. Add an agent and it appears in the form immediately.

Two reports that answer real questions

The bank report gives a bank-wise summary — record count, total and average per bank — with a chart of how the amounts are distributed across them. The agent report ranks agents by amount collected, so the strongest and weakest are visible rather than inferred. Both filter by date range and search.

Records and access

The records list filters by status, method and user, pages at ten or twenty-five rows, and any row can be edited in place. Two roles: an admin who reaches everything, and a user who gets the payment form and the records only. New people can register themselves, arriving as users, and any account can be blocked — a blocked login is refused with a message rather than quietly failing. Sessions last an hour.
