Free Pay Slip Portal with Access Alerts – Google Apps Script

R50 is a pay slip portal employees serve themselves from. They enter their employee code, their slip comes up, they print it. What makes this one different from every other payslip file here is what happens the instant somebody does that.

The employee is told, every single time

Any lookup against an employee code sends an email to that employee: someone has accessed your pay slip. It names them, their branch and their employee code, so they can confirm the slip being opened is genuinely theirs, and it tells them to report it to the admin centre if the search was not them. Salary is the most sensitive record most small businesses hold, and this turns a silent lookup into one that leaves a trace with the person it concerns.

The slip itself

Earnings run down one side, deductions down the other. Both columns total themselves, net pay is earnings minus deductions, and the figure is written out in words underneath — no one types a total or spells out an amount by hand, so the slip cannot disagree with itself. The company name and an authorised signatory line sit at the bottom, and a signature image can be dropped in.

Wrong codes go nowhere

An employee code that does not exist returns a clear pay slip not found message rather than an empty slip, so a typo cannot be mistaken for a missing salary.

Setting it up

Copy the sheet and the code comes with it under Extensions. Deploy as a web app set to anyone and grant the permission it asks for — the mail alert needs that authorisation to send. If the deployment screen comes up blank, open the settings icon and choose Web app, which the walkthrough demonstrates.
