Building a Multi-Branch Hotel Management System with PHP & MySQL

A complete multi-branch hotel management system built in PHP and MySQL — one dashboard that runs the front desk, housekeeping, the restaurant till, the event halls and the staff, across as many properties as you own. Switch branches from the top bar and the whole system reloads on that branch's data.

Front desk and reservations

Guests land on the public page, search rooms by arrival and departure date, and send a booking request. The request lands in the Booking Requests queue, where the receptionist confirms it into a reservation or replies on WhatsApp. At arrival, check in and assign a live room; move a guest to another room (a reason is required, so the move is logged); print the A4 registration pass; and check out through the folio with a manager write-off. The tape chart shows the whole week colour-coded — booked, in-house, checked out, out of order and unassigned.

Billing that actually closes

Quotations are built room by room, printed as an A4 document and converted to a bill once approved. Every stay carries a folio: post charges, discounts, split, void, record payments and settle. Invoices generate automatically and go out as an A4 print, a thermal receipt, an email or a WhatsApp message.

Restaurant POS, housekeeping and events

The till takes item codes straight from the keyboard, pays by cash or card, or posts a room-service bill onto an in-house guest's folio so it settles at checkout. Shifts open and close with float, cash in and cash out. Housekeeping assigns dirty rooms to cleaners, runs an inspection queue, and raises maintenance tickets that block a room from being sold. Event and function halls are booked, confirmed, invoiced and billed to corporate companies on their own ledger.

Staff, stock and the extras

Staff mark attendance from their own device only — a second device is blocked — with GPS geofence and a live map for the admin. Salaries, inventory, purchases, suppliers and stock movement all sit in the same system, alongside a built-in chat module, a room waitlist, lost and found, guest reviews, activity logs, multi-language switching and an optional Google Sheets backup.

Roles are not hard-coded: admin, manager, receptionist, housekeeping, cleaner, accountant, guest and user each get view / add / edit / delete permissions you tick on or off per page. Full source code, an installer, demo data and an 18-minute video walkthrough are included, with free installation support.
