Vendor Ledger with Email Statements – Google Apps Script

A supplier ledger that keeps the vendor informed without you writing a single email. Every bill, every payment and every statement reaches them automatically, while you get a live balance for the whole vendor list.

Bills in, payments out

Each entry is either a bill — credited, meaning you owe more — or a payment, debited against what is owed. Pick the vendor, enter the date, amount and reference, and it is recorded with the newest transaction at the top rather than buried at the bottom of a growing list. That ordering sounds trivial until you open a vendor with four years of history and need last week.

Three emails you never have to send

Add a vendor and they receive a welcome to your vendor portal. Record a transaction against them and they are emailed about it. Ask for a statement and it goes to them as an account statement. The third one has the detail that matters: you can send everything, or set a custom date range and send only that period — which is exactly what a supplier asks for when they are reconciling a month.

The balance picture

Below the transactions sits the vendor list with a balance calculated live from the ledger for every vendor — not a figure anyone maintains by hand. Sort it highest to lowest to see who you owe most, or filter to vendors at zero or below to clear the settled ones out of view. A vendor who has been paid in full drops off the outstanding list by itself.

Getting it out of the system

Any vendor's transactions print, download as PDF, export to Excel or copy. Vendors themselves are added, edited and deleted from the app, with deletion asking first.
