R11 gives each student their own account rather than a lookup box. They sign in with the ID the school issued and a PIN they set, and from there they can see their record, correct it, check their marks and have the whole report emailed to them — without anybody in the office doing a thing.

Their record, their corrections

The profile shows the ID number, name, email, grade, class and phone. The student can edit their own name, grade, class and phone, and saving asks for the password again so a left-open browser cannot be used to alter a record. The email address is deliberately locked — it is the one field that identifies the account, so it stays under your control.

Marks and the emailed report

Check Grade shows the marks subject by subject. One button emails that report to the student's address as a formatted message, with a link back to the portal so they can verify it there. A parent asking for a copy of a result stops being a phone call.

Passwords are not sitting in the sheet

PINs are stored encoded rather than as readable text, with encode and decode handled in the code. Someone glancing at the spreadsheet cannot read a student's password out of it, which matters when the sheet is open on a staff screen.

IDs that look like yours

Generated user IDs carry a prefix you choose and a digit length you set, so they can read as your school's numbers rather than anonymous strings. There is a reset function for the ID counter too.

Setting it up

Copy the sheet into a folder of your choosing, open Apps Script, run it once and grant the permissions — it asks more than once because it both reads the sheet and sends mail. The portal then embeds into Blogger, WordPress or your own site.
